Sales Funnel

Sales funnel meaning: the path people follow from first noticing you to paying you, narrowing at each step. For a coach or consultant it is five counts from your own records.

What is the meaning of a sales funnel?

A sales funnel is the path people take from first noticing what you sell to paying for it, shown as how many people remain at each step.

Key takeaways

  • No stage list is standard. Five widely read guides name three, four or six stages, and one also describes a seven-stage variant, so count events you can prove instead of copying a list.
  • The funnel counts people by step. The pipeline lists named deals with a value and a next date. Keep both in one sheet.
  • Count reached, raised a hand, spoke, got a price and paid over 90 days.
  • The step whose rate fell furthest since your last 90 days is your first fix.

Search for a sales funnel and each page hands you a different list of stages: awareness, interest, decision and action on one, six steps with negotiation and renewal on the next. For a coach or consultant who sells their own time, that list is the least useful part.

Your buyers do not follow a template. They watch a reel, say nothing for a month, message on WhatsApp, vanish, then ask for a price. What you can do is count how many people reach each point, because the counts show where enquiries die.

This page defines the term, explains why the stage lists disagree, separates the funnel from the pipeline, and gives you a five-count tally for the last 90 days. You fill it in from three places you already have: your phone's message threads, your inbox and your bank statement, in an afternoon. It also shows what seven coaching sites put in front of the first payment.

What is the meaning of a sales funnel?

It is drawn as a funnel because the numbers fall: many notice you, fewer enquire, fewer still pay.

A concrete case: someone sees your LinkedIn post, messages you, books a call, receives your price and pays. Each of those moments is a step you can count. The share of people who move from one step to the next is the conversion rate.

Why do funnel stage lists differ from guide to guide?

Stage lists are teaching conventions, not measurements. In five widely read guides checked on 23 October 2026, Salesforce India and IBM name six stages, Keap and Outreach name four, and Salesloft names three. Outreach also describes three-stage and seven-stage variants.

Real buying is looser than any list. A July 2020 Google experiment simulating 310,000 purchase scenarios across five categories found that what happens between trigger and purchase decision is not linear. For a solo expert, a prospect may follow you for months, vanish and return with a price question. Pick steps you can prove with a message, a calendar entry or a payment.

How does a funnel differ from a sales pipeline?

A sales funnel counts people by step to show where interest falls away. A sales pipeline lists named deals, each with an expected value and a next date. The funnel tells you which step leaks; the pipeline tells you whom to contact tomorrow. Some CRM (customer relationship management, software that stores contacts and deals) tools call their deal list a "funnel", which causes much of the confusion.

Two more mix-ups. A website is not a funnel. It is one place where people raise a hand, and a website for coaches should be built with that job in mind. A lead magnet, a free guide or talk offered in exchange for contact details, is one tool for step two, not the funnel itself.

Related terms: lead (a person who has raised a hand), drop-off (people who stop), value ladder (your offers ordered from free to flagship).

How do you count funnel steps for a coaching or consulting business?

Fill in five counts for the last 90 days from records you already hold, then divide each count by the one before it. A spreadsheet is enough. Use one platform's figure for step 1, not a sum across platforms.

Five counts from reached to paidA narrowing funnel of five steps from people reached to people who paid, with the share moving between steps shown at each arrow.

Recommended fixes, from reasoning rather than a study:

Weak rateLikely causeFirst fix
1 to 2Offer unclearOne-sentence offer, one clear way to enquire
2 to 3Booking slow or awkwardOne booking link, same-day reply
3 to 4Calls end without a priceState a price or range and the next step
4 to 5Price or terms surprise the buyerGive the range earlier, terms in writing

Compare each rate with your previous 90 days, not another business. The step whose rate fell most is your first fix. Ignore the gap between step 1 and step 2, because reach is a loose count and that rate is usually the smallest. On a first count, with no earlier quarter, start with the lowest rate from step 2 onward. Write a name beside each live enquiry and you have your pipeline too.

What do coaching sites put between a visitor and a first payment?

Four of seven coaching sites reviewed put a free call, or a free download leading to a call, first. On 23 October 2026 two web searches were run: "business coach India website free discovery call program price ₹ book a call coaching for founders" (ten results, six read) and "Indian executive coach OR consultant free masterclass webinar register ₹ program enrol India solo coach" (nine results, one read). The page code of each page below was read.

Each site is counted once, by the first step its page offers, so the categories sum to seven (4 + 1 + 1 + 1). This is a small sample, not a market survey, and Avantrix serves India and the USA. The publisher of this page was not among the sites compared.

Only two of the seven, Avantrix and Business Coaching India, show a price for their main paid service. At the other five, step 4 happens inside a private conversation. A sensible habit is to say your price range on the call itself and count it as step 4. This matters most for high-ticket coaching offers, and it is one way to sell services online without competing on price.

Example

With 3,000 people reached, 60 enquiries, 24 calls, 6 quotes and 4 payments (invented numbers, to show the arithmetic and not as a benchmark), the step rates are 60 ÷ 3,000 = 2.0%; 24 ÷ 60 = 40.0%; 6 ÷ 24 = 25.0%; 4 ÷ 6 = 66.7%. Overall: 4 ÷ 3,000 = 0.13%. The leak is step 3 to 4: only 6 of 24 calls ended with a price, yet 4 of those 6 paid.

Frequently asked

There is no fixed number. Guides use three, four, six or seven stages, so the count depends on whose list you read. A coach or consultant can use five steps that can each be proved from records: reached, raised a hand, spoke, got a price, paid. Count the people at each one over the last 90 days.
No. A website is one place where people can raise a hand. It becomes part of your funnel when you count what it produces, such as enquiries and booked calls. Count those at step 2 and judge the page by that number.
You do not need software. A spreadsheet with the five counts is enough, and you can start with a handful of people. With small numbers one sale moves a rate sharply, so read the pattern over two or three quarters.
There is no single good rate. Rates differ with price, audience and offer, so the useful comparison is your own previous 90 days. A step that falls from one quarter to the next is the one to fix.
